Since 2023, Asiacom Group has gradually introduced AI into its internal operations. Our goal is not to operate a large-scale AI system like a major corporation, nor to promote flashy external AI services.
As a small and mid-sized trading company, our first priority is to reduce routine administrative work and create an environment where employees can focus on trading operations, decision-making, and customer communication.
By using AI to support translation, summarization, document search, expense processing, email drafting, and inquiry handling, we believe we have reduced routine administrative work by approximately 50% over the past three years.

AI IMPLEMENTATION TIMELINE
We have gradually introduced internal AI, focusing on tools that employees can actually feel are useful in daily operations.
Employees can take photos of trade documents at ports and warehouses, then translate and summarize them on-site. Work that previously had to be reviewed after returning to the office can now be completed closer to the field.
We introduced a fixed-response chatbot on our website to improve first-stage inquiry handling and initial guidance quality.
Documents previously stored individually in OneDrive or Google Drive were moved into Red Ive. Employees can search documents in English, Traditional Chinese, and Japanese.
Official information from the Japan company, Hong Kong company, Taiwan Desk, and Philippines Desk became searchable in three languages.
Blue Ive was upgraded from fixed responses to restricted AI-generated responses, improving first-stage support for new inquiries.
A three-language and four-currency accounting system was introduced. Employees can send receipts or expense documents by smartphone, and AI recognizes desk, employee, currency, and amount.
Employment rules, travel rules, and company policies were centralized so employees can check them in three languages at any time.
Business card information previously held by each employee was centralized at HQ, including notes on contact characteristics and communication points.
Invoice management and FX management were added to Green Ive, making it easier for HQ to monitor cash flow across four locations.
Translation, summarization, document drafting, and voice reading functions were added, turning Red Ive from storage into a usable data platform.
Each employee received a personal portal connected with Blue, Red, Green, Purple, and Pink Ive. Secretary Ive supports scheduling, email management, business letter drafting, translation, summarization, and internal information access.
Based on three years of inquiry data, Blue Ive began testing an Agent-to-Agent style system that answers where possible and routes matters to internal staff when needed.
Inquiries from web, email, and phone can be received first by Blue Ive, then routed to the responsible employee's Secretary Ive as an internal task notice.
